Sandy builds day-by-day itineraries that clients can view on mobile — with maps, imagery, property details, and daily schedules. Editable live, even in the field.
Guest Portal
Each guest gets a personal portal with their e-tickets, vouchers, packing lists, emergency contacts, dietary info, passport storage, and flight details. Accessible offline via the Travel Portal app.
Contact & Passport Management
Guest info collected securely via custom forms — passports, health notes, dietary preferences, travel companions. Pulled forward automatically on repeat trips.
Sales Pipeline
Trip files tracked from inquiry through departure. Brittany manages stage movement; HubSpot is the financial record, SafariPortal is the ops record.
Task Manager
Departure prep checklists, supplier confirmation tasks, and pre-departure package sends all managed inside SafariPortal.
HubSpot Integration
SafariPortal connects to HubSpot via API. Trip data can flow between systems. Zapier is available as a middleware layer if direct API isn't configured.
Connecting SafariPortal to the OS
What's possible via API
SafariPortal has an open API. With Connor's build, the OS could pull live trip status, guest counts, and departure dates directly from SafariPortal — not just from HubSpot. This would give Brittany a single pane of glass.
What's possible via Zapier (faster)
SafariPortal → Zapier → HubSpot. When a trip stage changes in SafariPortal, it updates the HubSpot deal. The OS already reads HubSpot, so the loop closes automatically. Zapier is already connected to UNCHARTED®'s stack.
Recommended first step
Connor: contact SafariPortal about API access (available on Standard/Deluxe plans). Brittany: map the trip stages in SafariPortal to the 9-stage lifecycle above. Then Connor connects via Zapier or direct API to surface status in this OS.
Direct link
Once API is live, the Departures tab above will pull from SafariPortal directly — not HubSpot. Guest counts, prep status, and supplier confirmations will all be real-time.
Current Status
SafariPortal has an API but it requires plan confirmation and a key from the SafariPortal team. Connor to contact SafariPortal support to confirm API access on UNCHARTED®'s current plan. Zapier path is available immediately using the existing Zapier connection.
DocuSign Workflow

Trip Agreement Sent
Once Sandy or the sales advisor confirms the trip concept and pricing, Brittany generates the UNCHARTED® trip agreement in DocuSign and sends to the primary traveler.

Guest Signs
Guest signs electronically via DocuSign. Completed document stored automatically in HubSpot contact record and in SafariPortal trip file.

Deposit Invoice Triggered
On signature, deposit invoice goes out via Stripe (or direct bank transfer for large groups). Brittany monitors receipt.

Deposit Confirmed
Deposit cleared. HubSpot deal moves to Closed Won. SafariPortal trip record opens fully. Ops clock starts.

Final Payment Agreement
60–90 days before departure, final payment invoice sent. DocuSign used for any itinerary amendments requiring re-signature.

Docs Filed
All signed documents stored in HubSpot, SafariPortal, and Notion trip folder. Kate (bookkeeper) reconciles in Xero.
